Job Summary

The Security Clerk will provide administrative and clerical support to the security department, ensuring proper documentation, reporting, and coordination of security operations. The role focuses on maintaining security records, monitoring incident reports, supporting access control processes, and assisting with compliance procedures. This position is ideal for a detail-oriented professional with strong administrative and organizational skills.

Key Duties & Responsibilities

  • Assist with procurement and oversee the maintenance of office and official residence facilities, equipment, and properties, including coordination of repairs with service providers.
  • Coordinate with vendors, contractors, security companies, and the police, including handling quotations, invoices, and service agreements.
  • Prepare official letters and statements, and coordinate with government ministries.
  • Collect, analyze, and share public safety and security information.
  • Collect information on the security situation of other diplomatic missions.
  • Serve as a point of contact for emergency response.
  • Support official events, including preparation, coordination with the police and security companies, and on-site assistance.
  • Perform other tasks as assigned by the supervisor.

Educational Qualifications, Experience, & Skills Required

  • A minimum of three (3) years’ experience in an administrative or office-based position, including prior work experience with the police or a security company.
  • Ability to coordinate effectively with police and security companies
  • Proficiency in English; basic understanding of Japanese is highly preferred
  • Strong computer skills, particularly in Microsoft Excel, Word, Outlook, and Teams
  • Good written and verbal communication skills
  • Ability to work independently, efficiently, and responsibly
  • Non-Ugandan applicants must possess a valid work permit
  • Ability to read, write, and converse in Japanese.
  • Experience in a managerial or supervisory role within the police or a security company (excluding on-site operational management roles)
